Brief Summary of Position: 

The Department of Public Health (DPH) and the Bureau of Substance Abuse Services (BSAS) are seeking experienced applicants for the role of Grants Specialist and Project Coordinator.Our ideal candidate is self-motivated, willing to take action, has a demonstrated ability to establish relationships with internal/external constituents, and can produce results.

The incumbent in this position will, in conjunction with, and under the supervision of the Bureau’s Grants Management Specialist, manage and coordinate the implementation of a three (3) year federal grant focused on preventing prescription drug overuse, misuse, abuse and overdose. He/she will be responsible for overseeing the day-to-day activities associated with the grant, including coordinating project activities, services and evaluation. The nature of the work also requires excellent business communication skills including proofreading, grammar and punctuation, strong organizational skills, and the ability to prioritize multiple projects to meet deadlines.

Responsibilities: 

  • Oversee the day-to-day operations of the project including communication with internal/external constituents and a  variety of stakeholders
  • Collaborate in the preparation of proposals, development of policies and procedures, as well as reports and presentations relevant to the grant
  • Assist in the review of grant evaluation protocols and in the development of standard data collection instruments (e.g., surveys, interviews)
  •  Ensure the project meets funder’s budgetary and reporting requirements, as well as maintenance of the Internal Review Board (IRB) and necessary regulatory compliance
  • Assist with contractor/consultant contracting and ensure consultants are invoicing regularly and in accordance with the scope of work for the given project
  •  Review and proofread correspondence and documents for grammar, punctuation, pagination, tables of content, continuity of defined terms, formatting, and references
  •  Participate in the preparation of metrics and reports for funders and stakeholders
  • Provide direct supervision and guidance to the administrative support staff designated to work with the project
  •  Maintain collaborative, team relationships with peers and colleagues in order to effectively contribute to the achievement of goals, and to help foster a positive work environment
  • Attend regularly scheduled departmental/agency meetings as required; collect and distribute meeting minutes when appropriate
  • Travel to local, regional and/or national meetings and conferences pertaining to the grant or project as needed or required
  • Perform other related duties such as facilitating meetings, providing recommendations, records management and general information sharing

Qualifications:

  • Knowledge of the principles and practices of project management, grant policies/regulations and pre/post award processes associated with federal grants;
  • Ability to determine proper format and procedure for assembling information into reports and documents for various target audiences (e.g., funders, stakeholders, clients);
  • Critical thinking skills, using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems;
  • Self-motivated and able to work independently as well as collaboratively with colleagues and external constituents;
  • Confident and able to effectively engage stakeholders in challenging or deadline-oriented situations;
  • Proven ability to supervise, including the planning and assigning of work according to the nature of the job to be accomplished;
  • Demonstrated resourcefulness in setting priorities, proposing new ways of creating efficiencies, and guiding investment in processes and systems;
  • Ability to multitask and manage several projects at one time;
  • Capacity to maintain accurate records and exercise discretion in handling confidential information;
  •  Strong written and oral communication skills with proficiency in Microsoft Office applications including Outlook, Word, PowerPoint and Excel
