MPHA Job Posting: Events and Administrative Manager

The Events and Administrative Manager will have the opportunity to work closely with the MPHA Development Director and the MPHA Executive Director during the planning and execution of MPHA’s spring awards breakfast and annual fall conference and expo. The Events and Administrative Manager will be the primary contact for the Salesforce database and will be responsible for database upkeep and hygiene. The Manager is also responsible for general office administrative oversight. This position is full time and based in downtown Boston. 

Reports to: Development Director/Executive Director

Start date: The anticipated start date for this position is February 1, 2017

Programmatic Responsibilities

Coordinate 300 person MPHA spring awards breakfast fundraiser:

  • Responsible for logistical details related to the event including liaising with the venue
  • Support sponsor outreach and coordination among staff and board members to complete and maximize outreach
  • Track and manage sponsor benefits and communication, and track payments
  • Manage invitations, ticketing/ RSVPs, registration process, event communication to attendees
  • Support production of online and printed marketing and event materials, event email alerts, event newsletter articles, event website, and social media
  • Support day of event logistics, and manage event volunteers

Coordinate the 400 person MPHA fall annual meeting, educational event:

  • Responsible for logistical details related to the event including liaising with the venue
  • Support sponsor and educational institution outreach
  • Support exhibitor outreach for the Expo and Career Fair, and coordinate expo set-up and support for exhibitors
  • Manage registration process, event communication to attendees and exhibitors
  • Support communications activities around the event
  • Support day of event logistics, and manage event volunteers

Administrative Responsibilities

  • Provide general administrative assistance as needed, including membership renewal and thank you letters, maintaining membership information in the database, and posting jobs to the MPHA jobs board
  • Other administrative tasks as assigned

Familiarity with the following programs is preferred:

  • Microsoft Word and Publisher
  • Salesforce
  • Constant Contact

Additional qualifications:

  • Strong attention to detail
  • Past experience with event management — either paid or volunteer
  • Prior database management experience
  • Professional communication style and a sense of humor
  • Ability to take initiative and work independently
  • Commitment to social justice
  • Interest in fundraising, event planning, or nonprofit management
  • Strong administrative skills
