Title: Events Associate

Brief Summary of Position: The events associate will have the opportunity to work closely with the MPHA Development Director and the MPHA Executive Director during the planning and execution of MPHA’s spring awards breakfast and annual fall conference and expo.  The events associate will be the primary contact for the Salesforce database and will be responsible for database upkeep and hygiene.  The Events Associate position is 24-32 hours per week and based in the MPHA office in Boston.

Responsibilities

Coordinate 300 person MPHA spring awards breakfast fundraiser:

  • Responsible for logistical details related to the event including liaising with the venue
  • Support sponsor outreach and coordination among staff and board members to complete and maximize outreach
  • Track and manage sponsor benefits and communication
  • Track payments
  • Manage invitations, ticketing/ RSVPs, registration process, event communication to attendees
  • Support communication including production of online and printed marketing and event materials, event email alerts, event newsletter articles, event website, twitter
  • Coordinate event volunteers
  • Support day of event logistics, and manage event volunteers

Coordinate the 400 person MPHA fall annual meeting, educational event:

  • Responsible for logistical details related to the event including liaising with the venue
  • Support sponsor and educational institution outreach
  • Lead exhibitor outreach for the Expo and Career Fair, and coordinate expo set-up and support for exhibitors
  • Manage registration process, event communication to attendees and exhibitors
  • Support communication including production of online and printed marketing and event materials, event email alerts, event newsletter articles, event website, twitter
  • Coordinate event volunteers
  • Support day of event logistics, and manage event volunteers

Administrative Support:

  • Provide general administrative assistance as needed, including membership renewal and thank you letters, and other tasks as assigned

Qualifications:

Familiarity with the following programs is preferred:

  • Microsoft Word and Publisher
  • Salesforce
  • Constant Contact

Additional qualifications:

  • Strong attention to detail
  • Past experience with event management — either paid or volunteer
  • Prior database management experience
  • Professional communication style and a sense of humor
  • Ability to take initiative and work independently
  • Commitment to social justice
  • Interest in fundraising, event planning, or nonprofit management
