Reporting directly to the Executive Vice Chancellor (EVC) Commonwealth Medicine (CWM), the Chief of Staff directs, monitors, and contributes to short and long term critical priorities, initiatives and activities of CWM. These initiatives and activities are strategic in nature, highly complex, and involve the creation and oversight of multifaceted teams. As a member of the EVC’s leadership team, the Chief of Staff works directly with the EVC, UMMS administration and CWM administration on the range of issues facing the Medical School and Commonwealth Medicine. As a key advisor to and representative of the EVC, the Chief of Staff handles complex, time-sensitive issues that intersect public, organizational and academic dimensions, and helps to manage issues across the spectrum. The Chief of Staff will act as an executive liaison to resolve problems and ensure successful implementation of strategic priorities and initiatives of CWM.

Responsibilities:  

  • Oversees and directs the operations of the Office of the Executive Vice Chancellor by planning and directing workflow and communications
  • Advises the EVC on policy, procedural, operational and business activities and initiatives that span the entire organization
  • Implements the EVC’s decisions and directives and manages the administrative office of the EVC
  • Ensures communications between the Office of the EVC, UMMS Administration, and external parties is timely and responsive
  • Participates in strategic planning, annual budget preparation and hearings, and quarterly financial performance meetings
  • Plans and organizes all CWM Executive Leadership Team (ELT) meetings, creating agendas, determining priorities and preparing and distributing minutes
  • Represents the EVC at designated meetings and forums
  • Coordinates and follows through with the EVC and the EVC’s leadership team to ensure that initiatives, objectives and priorities of the EVC are understood and advanced
  • Launches and oversees various complex projects and initiatives on behalf of the EVC
  • Develops strategies for engagements with key partners, clients, legislators and other stakeholders. Directs planning activities in preparation for presentations and coordinates follow up
  • Prepares the Briefings Reports for the EVC, prepared by Executive Assistant, to include priority news items, scheduling priorities, key issues and status of leadership initiatives
  • Performs other duties as needed in support of the Office of the EVC

Qualifications:

  • Master’s degree in Business, Public Administration, Public Health, Health Care Administration, or related field and 10 or more years of related experience in health care, public administration, or related field

OR

  • Bachelor’s degree in Business, Public Administration, Public Health, Health Care Administration, or related field and 12 or more years of related experience in health care, public administration, or related field
  • High level of diplomacy, discretion, and problem-solving skills required
  • Strong communications skills as evidenced by preparation of oral and written materials including presentations, proposals, reports and memoranda both technical and confidential in nature
  • Demonstrated ability to work without close supervision or professional guidance and to exercise independent judgment
  • Capacity to manage complex operational priorities
  • Excellent verbal and written communication skills
  • Experience working effectively with multiple constituencies

Preferred Qualifications:

  • Knowledge of UMMS and CWM
  • Ability to work collaboratively and exercise informal authority
