Reporting directly to the Executive Vice Chancellor (EVC), Commonwealth Medicine (CWM), the Business Administrator is responsible for supporting the EVC in planning and managing the administrative and business affairs of the Office of the EVC. The Business Administrator works directly with the EVC, UMMS Administration and CWM Administration on the range of issues facing the Medical School and CWM. The Business Administrator oversees the evaluation, application, progress, implementation of key initiatives as identified by the EVC.


  • Monitor the administration and operations of the Office of the Executive Vice Chancellor
  • Participate in the development of key initiatives and programs as directed by the EVC
  • Convene and provide overall direction to project teams, which may include identifying, coordinating and organizing necessary resources to perform work on projects/key initiatives
  • Monitor progress against initiatives and oversee timely completion
  • Serve as liaison with external organizations and other School departments
  • Facilitates communications between the Office of the EVC and UMMS administration to ensure timely response on key issues
  • Coordinates communication between the EVC and the EVC’s leadership team to ensure that initiatives, objectives and priorities of the EVC are understood and advanced
  • Attends the CWM Executive Leadership Team (ELT) meetings. Helps to prepare agendas and set priorities. Tracks and follows up on issues and opportunities raised by the ELT. Assesses progress and takes appropriate action to ensure outcomes
  • Coordinates planning activities in preparation for meetings with key partners, clients, legislators and other stakeholders. Coordinates presentations and follow up activities
  • Participates in strategic planning and monitoring of strategic plan implementation
  • Analyzes and evaluates existing administrative systems, identifying opportunities for systems improvements and increased efficiencies
  • Manages and prioritizes access to the EVC to ensure that appropriate time is allocated for key strategic priorities and key constituencies. Works closely with the EVC’s Executive Assistant to manage schedule
  • Works closely with the EVC’s Executive Assistant to manage administrative operations in the office of the EVC including preparation of briefing materials, correspondence, communications, agendas, budget development, and work flow
  • Supervises and evaluates the performance of administrative staff working in the office of the EVC

Required Qualifications:

  • Bachelor’s degree in Business, Public Administration, Public Health, Health Care Administration or related field; or equivalent
  • At least 7 years of related experience in health care, public administration, or related field
  • Strong communications skills as evidenced by preparation of oral and written materials including presentations, proposals, reports and memoranda both technical and confidential in nature
  • Capacity to manage complex operational priorities
  • Excellent verbal and written communication skills
  • Experience working effectively with multiple constituencies

Preferred Qualifications:

  • High level of diplomacy, discretion and problem solving skills required
  • Knowledge of UMMS and CWM
